Privacy Policy

Effective 15 October 2026. We handle information relating to site usage and enquiries as described below.

1. Controller and scope

   HINATA Trading Co., Ltd. handles information relating to use of this website and to enquiries, business discussions and visit requests submitted through it. Our registered address and representative are listed above. For privacy enquiries, contact info@hinatatrading.com.

2. Information we collect

   We collect the name, email address and message you provide, together with optional company, country or region, telephone, address, business type, product interests and visit preferences. Submissions also include a reference number, source page, language, policy acknowledgement and whether you requested product updates. Connection information, including IP addresses, is processed to operate the site and prevent abusive submissions. Required fields must be completed to submit a form; optional fields may be left blank.

3. Purposes and legal bases

   We use this information to respond to enquiries, provide requested product and trade information, arrange business discussions or visits, and operate the site securely. Where European data protection law applies, we rely on steps requested before entering a contract with you, and on our legitimate interests in communicating with business contacts and preventing abuse. We balance those interests against your rights and interests. Where an applicable legal duty requires processing, we rely on that obligation.

4. Product updates

   We use your enquiry to respond to you. We send ongoing product updates only if you choose the optional “I would like to receive product updates” checkbox, which is off by default. You can make an enquiry without selecting it. If you opt in, you may unsubscribe or withdraw your consent at any time by contacting info@hinatatrading.com. Withdrawal does not affect processing carried out before it.

5. Storage, access and disclosure

   We use Cloudflare to deliver and protect the site and formrun to receive and manage forms. Enquiries are retained in Google Workspace email and formrun; we also plan to manage them in Google Sheets. Employees, contracted sales staff handling enquiries and an external IT administrator may access the information as needed for their work. We may share enquiry details and contact information with our group companies Kitchodo Co., Ltd. (OEM and private-label manufacturing) and Nippon A Plus GmbH (import and sales for Switzerland), to the extent needed to respond or conduct a transaction. Before sharing your contact details with any other company we may introduce, we will ask for your agreement, except where disclosure is required by law.

6. International processing

   We are based in Japan and handle overseas enquiries here. Our service providers may also process information outside Japan. Where an international transfer is required, we will check the destination and safeguards under applicable law. Contact our privacy address for questions about destinations and safeguards.

7. Retention

   We review enquiries that do not result in a transaction around two years after our last response and delete records that are no longer needed. Where a transaction takes place, we retain transaction records for the periods required by applicable law.

8. Temporary browser storage

   When you switch between Japanese and English while completing a form, entries are temporarily stored in the same browser tab to carry them across. The stored copy is removed when restoration is attempted, and entries older than 30 minutes are not restored. This storage supports form completion; saving a draft in your browser does not itself send an enquiry to us.

9. Analytics and browser settings

   We use Cloudflare Web Analytics for optional site analytics. Analytics is off by default. Only after you consent do we load its script and send usage information, such as pages viewed and page performance, to Cloudflare. This analytics service does not use cookies. We store your accept or decline choice in your browser’s local storage. Declining does not affect your use of the site or ability to enquire. You may change your choice at any time using “Decline analytics” or “Allow analytics” below. After withdrawal, analytics will stop on subsequent pages.

10. Access, correction, deletion and other rights

    Contact info@hinatatrading.com to request access, correction, deletion or restrictions on use of your information. We verify identity where necessary and respond under applicable law. Where European law applies, you may also have rights to restriction, portability and objection to processing based on legitimate interests, and to complain to a supervisory authority in your place of residence, work or the alleged infringement. You may object to direct marketing at any time.

11. For US residents

    Where the conditions of applicable state law are met, rights may include access, correction, deletion, a copy of your information, and opting out of sale, sharing or targeted advertising. Contact our privacy address to exercise rights or ask for a review or appeal of our response. We will not discriminate against you for exercising your rights.

12. Security and changes

    We use appropriate measures, including encrypted communications and access controls, to protect personal information. Changes to this policy will be posted on this page with an updated date. If a change requires further notice or consent under applicable law, we will follow that process.
